How to Effectively Use Language AI or Chat AI in your Business

Chat GPT and other similar LLMs have exploded onto the market, leaving many people confused about what they are and how to use them. Used effectively, however, they can save hours of labor. Here, we’ll walk through some of their best applications and some potential pitfalls to watch out for.
What is language AI and how does it work?
ChatGPT is one example of a large language model, which is an artificial intelligence system designed to mimic human speech. Large language models or LLMs are trained using articles, websites, books, and other documents so that they can produce text. The training involves “teaching” the artificial intelligence systems to generate text based on the information it hasreceived. Basically, after incorporating a large amount of language, the system creates responses and then human testers rank them for appropriateness or usefulness.Given a prompt, then, such as “write a letter to clients explaining that our business is closing for the Easter holiday,” the system generates a response of the kind and format specified. Some companies’ AI software also includes suggested images and links to further research along with the responses.
Suggestions for uses of AI language systems in business
Language AI systems can streamline rote tasks for businesses that go beyond just creating letters or emails. Here are some uses that maximize their potential:
1. Writing simple letters. LLMs are great at correspondence that does not need to be especially personal or chatty. Putting in a quick prompt such as “a letter to a customer experiencing difficulty accessing our website” will result in at least a first draft of an email that can be slightly customized to fit the situation if necessary.
2. Generating lists and ideas. Brainstorming might seem like a very human activity, but LLMs’ ability to draw on large amounts of data actually makes them exceptional at this task. Lists of possible titles for articles or blog posts, proposal suggestions, and marketing slogans are just some of the brainstorming tasks it can handle.
3. Summarizing articles or research. LLMs can generate a summary of a piece of text and even explain complicated topics for laypeople to understand.
4. Translations. Chat software is already revolutionizing communication across languages. You can use it to translate text from another language as well as generate the same email (for example) in multiple languages.
5. Generate social media posts. With a topic and some basic information, LLMs can create text for social media and even scripts that you can use to make videos.
6. Create outlines. If you need a place to start for an article, blog post or presentation, you can ask an LLM to create an outline on whatever topic you need to cover.
7. SEO-keywords. With an inputted topic, LLMs can quickly provide extensive lists of SEO keywords to help with your search engine rankings.
8. Create lists of interview questions. Enter the position you are hiring for and desired qualifications and LLMs can generate questions to ask during an interview.
9. Recommendations. Need to know what products, services, or even media content you might use for your business? Give the LLM some guidelines and it can make recommendations.
10. Employee training. You can use LLMs to generate quizzes and instruction materials as well as provide answers to new employees’ questions.
11. Use chatbots on a business website. If your business’s site has a lot of traffic, it might be worth including a smart chatbot to answer customer questions. An FAQ page can address common questions, but a chatbot providing more specific answers can make your website appear more professional and save employees from having to answer the same emailed questions over and over.
12. Help with rewriting and proofreading copy. Using AI as a second reader is a great tool for saving time. If you have a draft of a proposal or any other piece of text that you are not completely satisfied with, you can use an LLM to improve it. This can include changing the tone of your writing as well as proofreading and error-checking.
13. Coding. While most AI is not at the level of creating complete websites yet, it can provide a starting point by writing code for a simple page and checking code for errors.
14. Mathematical problems and data summaries. Need to calculate your business’s net profit on an item or your conversion rate? You can ask AI bots for not only an answer, but also a breakdown on how it was calculated. It can also provide summaries of large amounts of data.
15. Automated scheduling and to-do lists. If you or your employees are overwhelmed by work and trying to figure out how to fit everything in your daily schedules, asking LLMs for assistance can make the task easier. Generate schedules and to-do lists easily that you can customize however you want.
16. Market Research. You don’t have to scour the internet for information on competitors or potential customers anymore. AI can do the work for you and compile the data as well.
17. Creating customer surveys. Finding out what your customers think of your products or what they want in a service is easy if you use AI to generate surveys. It can even compile responses for you.
Some potential pitfalls and things to watch out for when using AI
Using AI to write an entire piece of text without proofreading or fact-checking is not a best practice. While it can generate text well, especially if given good prompts, AI has been known to “lie,” “hallucinate,” and veer off-topic (especially when asked to write long pieces). It is best used as a starting point for writing rather than to produce a final product. Also, keep in mind that some LLMs are not up to date on all their information, so if you’re looking for very current data, you might need to enter it yourself. Be careful as well with giving the system sensitive or proprietary information since anything you enter can become part of the AI company’s database. Finally, if you don’t get what you need the first time, don’t give up. Using chat software is like learning any new computer program. Finding out how to get the results you need can take time. For the right tasks, however, it’s worthwhile to learn how to make the robots do the work.
